BEACH ROAD WINES – FUNCTIONS
TERMS & CONDITIONS
1. Tentative Bookings
A tentative booking is valid for 7 days and requires submission of a Function Enquiry Form. If not confirmed within this period, the date and space may be released.
2. Pricing
All quoted prices are current at the time of issue and subject to change until the booking is confirmed.
3. Booking Confirmation
A booking is confirmed upon receipt of a signed contract and a pre-authorisation payment of $10 per guest. Tentative bookings will be cancelled if not confirmed within 7 days.
4. Dietary Requirements
All dietary requirements, including allergies, must be provided with final guest numbers. A $10 surcharge per person applies for gluten-free or other special dietary meals.
5. Food & Beverage Policy
External food or beverages are not permitted unless prior approval is granted.
Beach Road Wines is a nut-free venue. Any products containing nuts will not be served.
6. Bonds & Deposits
A pre-authorisation will act as a bond and be released 36 hours after the event, provided no breach of Section 14 has occurred. Additional deposits may be required for special equipment or circumstances as determined by management.
7. Minimum Numbers & Spend
Evening Functions:Minimum of 40 adult guests and a $4,000 minimum spend. If not met, full payment for 40 guests is required unless otherwise agreed in writing.
Daytime Functions:Dining areas are available for exclusive use with minimum spends set at the time of booking or in a written quote.
8. Final Numbers & Payment
Final guest numbers are due 14 days before the function. Full payment is required no later than 7 days prior. Additional guests will be charged post-event. Supplier meals must be arranged 14 days in advance and will be charged accordingly.
9. Postponements
Clients may reschedule (subject to availability) with a minimum of 48 hours’ notice.
10. Cancellations
More than 14 days’ notice: Pre-authorisation will be released.
Less than 14 days’ notice:Beach Road Wines will retain 30% of the total invoice or pre-authorisation and refund the remainder.
11. Client Responsibility & External Suppliers
Clients are responsible for informing all suppliers and contractors of these Terms & Conditions.
All suppliers must be licensed, insured, and provide a Certificate of Currency at least 7 days before the event.
Supplier access is limited to 1 hour before the event unless otherwise approved and may incur additional fees.
All electrical equipment must be tagged.
Beach Road Wines accepts no responsibility for supplier equipment damage.
12. Use of Venue
Clients must adhere to scheduled access and departure times.
Overtime fees apply at $250 per half hour past the agreed end time.
Additional hire fees apply if the client requests extended venue use or furniture removal:
·      $500/hour for time extensions
·      $500 for moving furniture in the Wine Garden
·      $750 for the Alfresco, Deck, or Tree Dining areas
13. Conduct & Legal Compliance
Clients and guests must behave in accordance with venue policies and the law. Beach Road Wines reserves the right to remove any individuals deemed inappropriate or disruptive.
14. Damages & Additional Charges
Clients are liable for any damage caused by themselves, guests, or suppliers, excluding that caused by staff.
Cleaning is included; however, excessive cleaning needs will incur extra charges.
Costs for damage, emergency services, additional cleaning, or security will be deducted from the pre-authorisation.
15. Loss or Theft
Beach Road Wines accepts no responsibility for lost or damaged items. Items left longer than one-week post-event will be discarded.
16. Alcohol
Service is subject to Responsible Service of Alcohol laws.
·      Intoxicated or disorderly guests will be refused service and may be asked to leave.
·      Underage guests will not be served alcohol.
·      Spirit service requires a licensed security guard; costs will be charged to the client.
17. Entertainment
All entertainment must be disclosed 14 days prior.
Management retains control over volume levels and reserves the right to cancel any entertainment that is offensive, unlawful, or inappropriate.
18. Noise & Curfew
All music must cease by 10:00 pm.
Guests must vacate the premises by 10:20 pm unless otherwise agreed in writing.
19. Fire Safety
Fire exits and extinguishers must remain accessible at all times.
20. Smoking & Vaping
Permitted only in designated outdoor areas, in line with current legislation.
21. Equipment Hire & Decorations
Clients are responsible for all equipment setup and removal costs.
Deliveries must be labelled with the client name and event date and pre-approved.
The venue does not offer storage.
Beach Road Wines is not liable for injuries caused by external equipment.
Confetti, scatters, and sparklers are prohibited. Removal costs will be charged to the client.
22. Working Winery Notice
Beach Road Wines is a working winery. During vintage season (late Jan–April), netting, equipment, and production activities may be visible or active onsite. We appreciate your understanding.
23. Fire Ban & Force Majeure
On Total Fire Ban Days, Beach Road may amend menus to comply with fire safety.
If a Catastrophic Fire Day is declared or fires are nearby, the event may be postponed.
Management will follow CFS guidance.
Beach Road Wines is not liable for cancellations due to events beyond our control, including weather, natural disasters, or utility failures.
24. Payments & Surcharges
Final invoice is due prior to the function. Additional charges will be settled on the day.
·      A 24-hour notice is required for guest number reductions to be eligible for venue credit.
·      Payment methods: cash, direct deposit, Visa, Mastercard, AMEX (card surcharges apply).
·      A 15% surcharge applies on food and beverage for functions held on Public Holidays.
25. Pandemic Policy
All functions will comply with current public health restrictions.
If the venue is closed, Beach Road will offer a change of date.
If the venue remains open, client cancellations will result in forfeiture of payments.

26. Agreement
By confirmation of booking, the client acknowledges and agrees to the terms and conditions as detailed in this document
